Billaroo builds and checks the file for the things the portal is fussy about — the exact column format, the 20-character filename, and the per-line service dates — so a stray character doesn’t get the whole upload rejected.

NDIS bulk claiming — common questions
What does the bulk upload file include?
One row per invoice line, in the exact 16-column format the NDIS portal expects: your registration number, the participant’s NDIS number, the support item code, service dates, quantity and unit price. Billaroo also gives you a separate, human-readable manifest to keep for your own records — that one is never uploaded.
Does Billaroo submit claims to the NDIS for me?
No. Billaroo builds the file — you download it, check it, and upload it to the NDIS provider portal yourself, so you stay in control of what is claimed. Billaroo is an invoicing tool and is not affiliated with, or endorsed by, the NDIA or the NDIS Quality and Safeguards Commission.
How is participant data kept safe?
When NDIS mode is on, every login requires multi-factor authentication, and sensitive details like participants’ NDIS numbers are encrypted at rest. Your books are isolated from every other business on the platform, and we only store what a claim actually needs.
What happens to a line that is rejected or paid short?
After the portal pays a batch, import its reconciliation file back into Billaroo. It matches each outcome to the right invoice line, so you can see what was paid, capped or rejected — and regenerate a file for just the rejected lines, without double-claiming anything already paid.
